User Guide

1. Getting started

Create an account with your email address and a password — you're signed in straight away. Then open Settings and set up your practice: name, address, telephone, email, website and your logo, all of which appear on the letterhead of every exported report. Add your standard boilerplate too — conditions of survey, disclaimers and terms & conditions — which is reproduced word-for-word on every report, never altered.

2. Recording a survey

Create a survey from the dashboard with the vessel's details, then use the big round button: tap Start finding, describe one finding in your own words, and tap Finish finding when you're done. Each start/finish pair is one finding — the same rhythm as pausing a dictaphone between items.

While a finding is open, Add photo attaches photos to that finding automatically. Your speech is transcribed live (in supported browsers); the audio is also recorded and uploaded so you can always play back exactly what you said. Tap any finding's text to correct its transcript.

3. Generating the report

When you've recorded your findings, tap Create report. Findings are sorted into report sections (hull, deck, machinery, electrical, plumbing, steering, safety, general) and a defect schedule is built from findings whose wording indicates a defect or recommendation. The report contains only what you dictated — nothing is invented, and anything unclear stays exactly as you said it.

4. Reviewing and exporting

On the draft screen, edit any paragraph inline and play the source recording beside it. Save edits keeps your changes; Regenerate draft rebuilds from the transcripts (your edits are kept in earlier versions). Export to Word downloads a .doc file with your letterhead, sections, defect schedule and boilerplate, ready for final polish in Word. Marine Survey Writer's name appears nowhere on the document.

5. Good to know

— An internet connection is needed to save findings; if you go offline mid-survey the app warns you.
— Live transcription works best in Chrome and on Android; on iPhone you may need to type finding text after recording.
— Photos and audio are private to your account, stored encrypted in the EU.
